1. Define exactly what your team needs
Start with the garments, not just the club name. A jersey-only request differs from a complete kit request, and a match kit differs from warm-up apparel. Specify each garment type, design and color combination separately.
If you want home and away designs, goalkeeper apparel or youth and adult sizes, identify those requirements before quoting. Ask which constructions and size ranges can be supplied for the actual request.
- Garments: jerseys, shorts, complete kits or training pieces
- Designs: home, away or another clearly identified layout
- Wearers: players, goalkeeper and staff where relevant
- Quantities: total items for each garment and design
2. Use one row per player or kit
Keep player details connected to the correct garment and size. Check the team's list before sending it, especially when the same player needs more than one design.
The table below is an illustrative way to organize information, not an accepted order or a supported size chart. Replace its examples with the actual garment's confirmed sizing.
| Wearer | Garment / design | Requested size | Name / number |
|---|---|---|---|
| Player A | Home jersey + shorts | M, to confirm | Alex / 7 |
| Player B | Home jersey + shorts | L, to confirm | Blank / 12 |
| Goalkeeper | Goalkeeper jersey | XL, to confirm | Sam / 1 |
3. Specify artwork and placements
Provide clear files for logos and sponsor graphics that you have the right to use. Explain the intended position and dimensions of each mark. If your reference contains third-party branding you are not authorized to reproduce, do not assume it can be included.
Treat shirt fronts, backs and sleeves as separate placements. Keep names and numbers in the roster rather than adding them as loose notes in several messages.
- Authorized club logo and sponsor artwork
- Main garment colors and panel-layout reference
- Front, back and sleeve positions with intended dimensions
- Name spelling, number formatting and any blank garments
4. Review sizing and the full specification
Ask for the size information for the actual garment. A size from another brand or a previous order is not automatically equivalent. Where a sample or fit review is useful, discuss its arrangements before approving the main order.
Confirm fabric, construction, colors, artwork and quantity together. The website's photographs and color cards are design concepts; they do not guarantee exact shades, fabric composition or immediate stock. Ask how design and any required physical approvals will be handled.
5. Include the destination and required receiving date
Send the receiving country and postcode where applicable. If the kit is for a match, tournament or launch, provide the date the goods need to be received, not only the event date.
Quotation, artwork review, approval, production and transit are separate stages. Discuss whether the actual schedule can be met before confirming an order. Shipping charges, customs responsibilities and tracking availability depend on the agreed method and destination.
6. Check the written quote before confirming
Compare the quote with your roster and garment list. Resolve missing sizes, ambiguous printing instructions and quantity differences before agreeing to production. Save the final approved version so later changes are not confused with the original request.
- Correct garment combinations and design references
- Confirmed size breakdown and player printing list
- Artwork approval requirements
- Quoted charges and payment arrangements
- Production estimate, shipment method and receiving details
- Cancellation and quality-issue handling for the custom order
Common questions
Can I combine kit sizes in my request?
Yes. List quantities by the selected garment's confirmed size range. KitReload reviews the combination and any product-specific quantity conditions before quoting.
Should I send names and numbers as a separate list?
Use a checked roster that links each name and number to the correct wearer, garment and size. A loose list without size assignments is difficult to approve accurately.
Does this checklist guarantee production or delivery dates?
No. It helps prepare the inquiry. Feasibility, approvals, pricing, production estimates and shipping arrangements are confirmed for the actual order.
